Terms of Service
SalonFlow (the “Service”)

1. About these Terms
These Terms of Service (“Terms”) govern your use of SalonFlow, the salon and spa client management software provided by (Company name) (“we,” “us”). By creating an account or using the Service, you agree to these Terms on behalf of yourself and the business you represent.
2. Definitions
- You / Customer — the business that signs up for the Service, and the owner and staff logins it creates.
- Business — a hair salon, nail salon, pet groomer, spa, waxing studio, barbershop or similar business using the Service.
- Client Data — information about your own clients that you enter into or store in the Service.
- Salon code — the unique code issued to each business and used to sign in.
3. Changes to these Terms
- We may update these Terms from time to time. We'll post the updated Terms in the Service and tell you the effective date and what changed at least 7 days in advance (30 days for changes that are materially adverse to you).
- If you don't agree to the updated Terms, you may cancel your account before they take effect. Continuing to use the Service after the effective date means you accept them.
4. Your account
- You must provide accurate business and contact information when you sign up and keep it up to date.
- We may refuse or terminate an account that uses someone else's identity or business information, contains false information, or has been used in violation of the law or these Terms.
- You're responsible for keeping your salon code, usernames and passwords confidential and for all activity under your account, including activity by staff logins you create.
5. The Service
- The Service includes appointment booking, client management, sales and checkout, prepaid balances and packages, inventory, reports and analytics, and related features. Features vary by plan.
- We aim to keep the Service available 24/7, but it may be interrupted for maintenance, upgrades, outages or network issues. We'll give advance notice of planned maintenance where practical.
- We may change or improve the Service. We'll give advance notice of material changes.
- Integrations with third-party services (such as Reserve with Google) depend on those providers and may change or become unavailable at their discretion.
6. Free trial, plans and billing
- New businesses get a 30-day free trial. No payment information is required to start the trial.
- To keep using the Service after the trial, choose a paid plan. Plans and prices are listed in the Service and on our website, in US dollars. Listed prices include any applicable taxes unless stated otherwise.
- Fees are paid in advance. You can choose monthly billing or annual billing. Your next billing date is shown in Settings > Plan.
- If payment isn't received by the billing date, you can keep using the Service normally for 5 days; for the next 15 days your account becomes read-only (you can view but not add or edit); and 20 days after the billing date, sign-in is suspended. Your data is not deleted at any of these stages, and full access is restored as soon as payment is confirmed.
- Text message (SMS) fees are not included in any plan and are billed separately per message sent, at the rates shown in the Service.
- If your subscription ends, adding and editing data may be restricted, but we keep your existing data for the period described in Section 10.
7. Annual billing discount and refunds
- Annual billing means paying for 12 months up front. You receive a 20% discount off 12 months of the regular monthly price. (The current discount is shown in the Service; the discount and prices in effect when you paid apply to that payment.)
- If you cancel an annual plan before it ends, we'll refund:
Refund = Amount paid − (Months used × regular monthly price)
- Months used are counted from your start date on the same day of each month, and any month that has started counts as a full month. (For example, 3 months and 10 days counts as 4 months.)
- Regular monthly price is the undiscounted monthly price of your plan at the time you paid.
- If the result is zero or less, no refund is due and we won't charge you anything more.
- After you cancel, you can keep using the Service until the last day of the final month counted in the calculation above.
- Refunds are issued to your original payment method (or to the bank account you designate, for bank transfers) within 7 business days after we confirm your cancellation.
- Monthly billing fees are non-refundable for the month already paid; if you cancel, you won't be charged again from your next billing date. If you couldn't use the Service because of our fault, we'll refund or extend your plan for the time lost.
- You can cancel at any time online in Settings > Plan > Cancel, or by contacting support.
8. Your responsibilities
- You're responsible for complying with all laws that apply to how you collect and use Client Data, including privacy, data protection and consumer protection laws. Giving your clients any required notices and obtaining their consent is your responsibility.
- Text messages. You may only text clients who have agreed to receive messages from your business, and you must honor opt-out requests (such as replies of STOP). You're responsible for complying with the Telephone Consumer Protection Act (TCPA), CTIA guidelines and similar laws. Our default message templates include opt-out instructions; don't remove them for marketing messages.
- You agree not to:
- reverse engineer, copy or redistribute the Service without permission;
- overload our servers or interfere with the Service's normal operation;
- attempt to access another business's data; or
- use Client Data for purposes other than those for which it was collected, or disclose it to third parties unlawfully.
9. Client Data
- You own your Client Data. For Client Data, your business is the party responsible for the data (the “business” or “controller”), and we process it on your behalf as a service provider (processor).
- We don't access or use Client Data except as needed to provide and support the Service, to prevent or fix problems, or as required by law. We never sell Client Data.
- Our Privacy Policy describes how we handle personal information in more detail.
10. Cancellation and your data
- You may cancel your account at any time through the Service or by contacting support.
- Before canceling, you can export your data. We're happy to help.
- 30 days after cancellation, we permanently delete your business's data in a way that can't be recovered.
11. Disclaimers and limitation of liability
- We're not responsible for interruptions caused by events beyond our reasonable control, such as natural disasters, power failures or telecommunications outages.
- We're not responsible for the accuracy of data you enter or for business decisions you make based on it.
- AI insights and message suggestions are provided for reference only and may not be accurate. Please review them before use.
- We're not responsible for losses caused by your own intent or negligence, such as sharing passwords or misconfiguring staff permissions.
- To the maximum extent permitted by law, the Service is provided “as is,” and our total liability for any claim is limited to the fees you paid us in the 12 months before the claim arose.
12. Governing law and disputes
These Terms are governed by the laws of (governing law — e.g. the Republic of Korea), without regard to conflict-of-law rules. Before filing any claim, please contact us so we can try to resolve the issue informally. Nothing in these Terms limits any rights you have under consumer protection laws that can't be waived by contract.
